1. Our Role as Data Controller and Processor

GreetGuard acts as both a data controller and data processor. We collect and process personal data from our website visitors and users of our visitor management system. As a data processor, we handle visitor data on behalf of our clients (the data controllers). We have implemented comprehensive measures to ensure compliance with GDPR requirements in both roles.

2. Legal Basis for Processing

We process personal data on the following legal grounds:

  • Consent: When you explicitly agree to the processing of your personal data for specific purposes.
  • Contractual Necessity: When processing is necessary for the performance of a contract with you.
  • Legal Obligation: When processing is necessary for compliance with a legal obligation.
  • Legitimate Interests: When processing is necessary for our legitimate interests or those of a third party.

3. Data Subject Rights

Under the GDPR, you have the following rights regarding your personal data:

  • Right to Access: You can request a copy of your personal data and verify the lawfulness of processing.
  • Right to Rectification: You can request correction of inaccurate or incomplete personal data.
  • Right to Erasure: You can request deletion of your personal data under certain circumstances.
  • Right to Restriction of Processing: You can request the restriction of processing in specific scenarios.
  • Right to Data Portability: You can request to receive your personal data in a structured, commonly used format.
  • Right to Object: You can object to processing based on legitimate interests or for direct marketing.
  • Rights Related to Automated Decision Making: You have rights regarding automated individual decision-making and profiling.

To exercise any of these rights, please contact our Data Protection Officer at dpo@greetguard.com.

4. International Data Transfers

GreetGuard may transfer personal data to countries outside the European Economic Area (EEA). When we do, we ensure that appropriate safeguards are in place to protect your personal data, such as Standard Contractual Clauses approved by the European Commission, Binding Corporate Rules, or other appropriate legal mechanisms.

5. Data Protection Impact Assessments

We conduct Data Protection Impact Assessments (DPIAs) when introducing new technologies or processing activities that may result in high risk to the rights and freedoms of individuals. These assessments help us identify and minimize data protection risks at an early stage.

6. Data Protection Officer

We have appointed a Data Protection Officer (DPO) responsible for overseeing our compliance with the GDPR. If you have any questions or concerns about how we process your personal data, you can contact our DPO at dpo@greetguard.com.

7. Data Breach Notification

In the event of a personal data breach, we will notify the relevant supervisory authority without undue delay and, where feasible, not later than 72 hours after becoming aware of it. If the breach is likely to result in a high risk to your rights and freedoms, we will also notify you directly.

8. Contact Us

If you have any questions about our GDPR compliance or wish to exercise your rights, please contact us at:
